This Privacy Policy outlines how the Workers Insurance Association of New South Wales (WIA) handles, uses, stores and manages personal information we collect about you as a website visitor, jobseeker, employee or agent of a member organisation, affiliate representative, member, authorised Academy preview participant, or other person interacting with WIA.
WIA is committed to adhering to the Privacy Act 1988 (Cth) and the Australian Privacy Principles under that Act.
Do not submit claim, health or other sensitive personal information by email or through Academy resource searches available in the private preview. If WIA intentionally needs sensitive information for a particular purpose, we will explain why and seek specific consent where required. If you provide another person’s information, you should have authority to do so and make them aware of this policy.
What personal information WIA collects
We collect only what is necessary to perform our functions and activities. This may include:
- contact details such as name, email address and phone number;
- information you provide through our website or interactions;
- identity details supplied when an authorised participant signs in to the private Academy preview, including their email address, display name and, where available, full name;
- optional Academy preview profile fields, enrolments, lesson progress, assessment attempts and results, and certificates;
- historical Academy organisation-workspace records, where applicable;
- short-lived, one-way authentication abuse-control identifiers derived from network and Microsoft account identifiers; the rate-limit record does not contain the raw network address, recovery email or Microsoft account identifier;
- website usage and advertising-interaction information collected through the Google tag, such as pages visited, referring pages, browser and device information, advertising identifiers and cookie information;
- information needed to administer and manage WIA functions; and
- details from your interactions as a member or affiliate member through our platforms and services.
How we use personal information
- to support and manage membership and member services;
- to review and respond to Academy preview support emails;
- to authenticate authorised Academy preview access, resume learning, administer assessments, issue preview certificates and provide participant support;
- to represent and advocate for members to public, private and government bodies;
- to communicate with regulators and other stakeholders;
- to conduct research, compile reports and support industry initiatives, test Academy functionality before launch, and use aggregate or de-identified Academy information where practicable.
Website measurement and Google Ads
WIA uses the Google Ads Google tag on its public website pages to understand whether advertising leads to website visits and other measured actions. When the tag loads, Google may process technical and usage information, including the page address, referring page, browser and device details, network address, advertising identifiers and information stored in cookies or similar browser storage. WIA uses the resulting reports to measure and improve its advertising.
WIA does not initialise the tag on Academy private-preview pages or send Academy page changes to it. WIA does not intentionally send claim information, health information, form content or Academy records through the tag. Google explains how it handles information from sites using its services in Google’s partner-sites privacy notice. You can manage or clear cookies through your browser settings.
Disclosure
We may disclose personal information to member organisations and affiliate partners where necessary for our services, to regulatory and government authorities as required by law, and to service providers who assist us in delivering our work.
WIA Academy private-preview information
WIA Academy has not launched as a public learning service. Access is currently limited to authorised private-preview participants. WIA uses preview information to let those participants access and resume learning, test assessments and certificates, receive support, maintain platform integrity and help WIA prepare the service for launch. Authorised WIA staff and service providers may handle this information where needed for those purposes.
Microsoft sign-in
During the private preview, WIA uses Microsoft as the Academy identity provider. When an authorised participant signs in, Microsoft authenticates the account under its own privacy terms. WIA receives only the basic identity details needed to operate the preview account, including a Microsoft account identifier, name and email address. WIA does not receive the participant’s Microsoft password or request access to their email inbox, files or calendar.
Where WIA holds historical organisation-workspace records from retired Academy functionality, they are retained only as needed for permitted operational, legal or record-keeping purposes and are not exposed through the current public Academy experience.
Resource search
Academy resource searches within the private preview are matched locally on the page. Search terms are not submitted to WIA, stored in a participant record or retained when the participant leaves the page. Do not enter claim, health or other identifying details.
Certificate verification
A preview certificate contains a shareable verification code. Certificate verification is currently available only inside the private preview. An authorised person who receives a code can see the participant’s name, course title, issue date and certificate ID, but not the assessment score or email address. Share a code only with intended recipients.
Security, access, correction and deletion
We take reasonable electronic and physical steps to keep personal information secure. You may request access to or correction of information WIA holds about you, and may ask WIA to delete Academy preview information. We will assess deletion requests subject to information WIA still needs for permitted purposes or must retain by law, and destroy or de-identify personal information when it is no longer needed where required.

We will acknowledge the complaint, investigate it and explain our response. If you remain dissatisfied, you may be able to ask the Office of the Australian Information Commissioner to review the matter. We may update this Privacy Policy from time to time. Changes will be posted on this website, and we encourage you to review the policy periodically.
